Booking a Luxury Villa Holiday: 8 Things to Check Before You Pay

A private villa can turn a good holiday into a great one. Your own pool, space for the whole family, long dinners on the terrace, and no queue for the breakfast buffet.

But villas are not hotels. There is no front desk down the corridor, and every home works a little differently. A few minutes of checking before you book can save a lot of frustration once you arrive.

Here is what to look at before you hand over a deposit.

1. Who Is Coming, and Where Will They Sleep?

Start with your group, not the photos. A listing may say it sleeps ten, but that number can include sofa beds or bunks.

Check the bedroom layout carefully:

● How many bedrooms have their own bathrooms?
● Are the beds doubles, twins, or bunks?
● Is there a maximum number of guests allowed?

Most villas set a firm occupancy limit, often for insurance or local licensing reasons. Booking more people than the limit can void your stay, so be honest about numbers.

2. Look at the Full Price, Not Just the Nightly Rate

The headline nightly rate is rarely the final figure. Many listings show a “from” price, and the total can rise once you add cleaning fees, local taxes, security deposits, and charges for extras such as pool heating or additional housekeeping.

Ask for a full quote for your exact dates before you commit. Rates can also vary sharply between high and low season, so shifting your dates by a week or two can sometimes make a real difference.

3. Know What Is Included

Villas vary widely in what they provide. Before you pack, confirm:

● Wi-Fi and its reliability, especially if anyone needs to work
● Kitchen equipment, from cookware and utensils to coffee makers
● Bed linen, towels, and pool towels
● How often the home is cleaned during your stay
● Whether a chef, concierge, or grocery delivery can be arranged

Knowing what is there means you will not waste the first afternoon of your holiday hunting for a corkscrew.

4. Be Honest About the Location

A secluded villa on a hillside sounds idyllic, and often is. It may also mean a drive every time you want dinner out, a coffee, or a swim at the beach.

Check the distance to the nearest town, restaurants, and supermarket. On islands such as Mykonos, a few kilometres can feel much longer on narrow, winding roads. If your group wants to walk to the beach or go out at night without a car, choose accordingly.

5. Plan How You Will Get Around

For most villa holidays, transport needs more thought than it does for a hotel stay.

Find out whether you will need a hire car, and how many. Large groups may need two vehicles or a minibus. Some villa companies partner with car hire firms and offer guests a discount, so it is worth asking before you book separately.

Check parking at the villa too. Some homes on steep or narrow lanes have limited space.

6. Read the Cancellation Policy and Get Insured

Plans change. Flights are cancelled, people fall ill, and family circumstances shift.

Read the cancellation policy before you pay, including when deposits become non-refundable and how much you would lose at each stage. Then take out travel insurance that covers villa bookings, cancellation, and medical care abroad. Comparing several policies side by side is the easiest way to find the right level of cover.

7. Book Through a Trusted Source

Villa scams do exist. Fake listings use stolen photos, and fraudsters ask for payment by bank transfer to accounts that disappear.

Protect yourself by booking through an established platform or directly with a company that owns or manages the homes it lists. Many operators let you book directly on their own websites, which gives you a single point of contact from enquiry to check-out. Equity Residences, for example, owns and manages a collection of homes in places such as Mykonos, Maui, Exuma, and Barcelona, and takes bookings through its own site.

Whichever route you take, pay by card where possible, check reviews from past guests, and be wary of anyone who pressures you to pay outside the official booking system.

8. Find Out Who to Call

Before you arrive, make sure you know:

● How check-in works and who will meet you, if anyone
● Who to contact if something breaks or stops working
● Whether there is a local manager available during your stay

A good host or management team makes all the difference when the pool pump fails at 9 pm on a Saturday.

The Reward for a Little Planning

A villa holiday gives you something hotels rarely can: space, privacy, and a home that feels like your own for a week or two. Ask the right questions up front, and you can spend your time where it belongs: by the pool, around the table, and out exploring.
